Role Summary

As the Executive Assistant, you are responsible for the effective management of the Executive’s calendar time and travel requirements. In addition to the above, the role is required to provide administrative support to the local management team.

Key Areas For The Role

  • Provide exceptional administration support for the Leadership
  • Coordinate the leaders calendar and email management to ensure that they work in the most effective way.
  • Take a lead in travel planning for the executive and wider leadership team.
  • To support and coordinate ad hoc projects as required, including events for the office.
  • To work in partnership and provide support for indirect leaders as and when required.

Your Key Responsibilities

  • General administration for the Executive and wider leadership team
  • Provide travel, calendar and meeting support for the leader and other team members as required
  • Document printing, collation, binding and preparation.
  • Coordinate ad hoc projects as required, including events management
  • Design and implement processes and procedures to ensure efficient and highquality support to the Executive and the wider leadership team
  • Establish cooperative working relationships with peers and colleagues that increases the overall level of support
  • Assist office staff activities and events
  • Preparation, review and editing of PowerPoint presentations, Word and Excel documents.
  • Enhancing GenesisCare’s external and internal relations through displaying professionalism in all interactions and delivering office services and administration that meet the needs of key stakeholders
  • Being a GenesisCare ambassador
  • Ensure all work undertaken complies with the GenesisCare purpose and values Follow the GenesisCare code of conduct and all relevant policies and procedures for the position.

Your Key Working Relationships

As the Executive Assistant, you need to develop strong relationships with the USLT In addition, you need to develop strong external relationships with various individuals/agencies/key stakeholders.

Experience

  • Strong administration, project and time management skills
  • Previous experience in an EA position supporting an Executive
  • Previous experience supporting multiple Executives/Managers
  • Previous travel, time and calendar management experience
  • Strong project management skills (e.g. events)
  • Strong Microsoft Office skills (Outlook, Word, PowerPoint, Excel)
  • Credit card reconciliation experience
  • Tender coordination advantageous
  • Ability to create and drive new processes
  • Credit card reconciliation and expense management experience
  • Excellent verbal and written communication and influencing skills
  • Ability to produce business correspondence, proofread for grammar, spelling and punctuation with a high degree of accuracy and attention to detail
  • Ability to liaise effectively with a range of internal and external stakeholders
