We are seeking a Payroll & HR Administrator to join our growing team.

Description

Here is a summary of the role:

The Payroll & HR Administrator will play a crucial role in ensuring accurate and timely processing of payroll and administering employee benefits programs. The ideal candidate will have a strong understanding of payroll processing, benefits administration, and a commitment to maintaining confidentiality. The ideal candidate will question the norm, fill in any gaps that are found, and proactively solve problems before they occur. This position requires excellent organizational skills, attention to detail, and the ability to communicate effectively with both employees and external vendors. Multi-state payroll experience is highly desirable. This role will also need to help ensure that we deliver empathetic, on-brand experiences to all potential and existing Theorists .

What You Will Do

Payroll/Finance Functions

  • Payroll Processing:
    • Collect, review, and process all payroll related documents and adjustments.
    • Calculate and process employee salaries, bonuses, and deductions accurately, with a focus on multi-state payroll compliance.
    • Reconcile and process all freelance timesheets.
    • Ensure compliance with federal, state, and local payroll regulations in all states of operation.
  • Benefits Administration:
    • Administer employee benefits programs, including health insurance, retirement plans, and other perks.
    • Assist employees with benefit-related inquiries and provide support during open enrollment periods and life events.
  • Data Management:
    • Maintain accurate and up-to-date employee records in the payroll and benefits systems.
    • Prepare and submit reports to management as needed.
    • Ensure data confidentiality and compliance with data protection regulations.
  • Compliance:
    • Stay informed about changes in labor laws, tax regulations, and other relevant compliance issues, especially those related to multi-state payroll.
    • Assist in audits and ensure payroll and benefits practices comply with regulatory requirements.

HR Functions

  • Provide support to employees in various HR-related topics such as leaves and compensation and resolve Theorist issues that may arise
  • Process promotions and separations
  • Complete compliance related forms and maintenance, such as I-9s, EEOC Surveys, and background checks
  • Conduct audits of payroll, benefits, or HR information like job descriptions
  • Conduct full cycle employee onboarding and offboarding including the employee relations piece in addition to process & workflow
  • Preparation and management of performance review process in HRIS system
  • Maintain and organize all Theorist confidential information, documents, and changes/updates
  • Hold Managers and Theorists accountable for tasks like performance reviews, job descriptions, content coordination, and any other compliance related information
  • Complete verifications of employments
  • Work closely with internal departments and ask questions, see opportunities for process optimization and efficiencies
  • Assist with agency-wide communications, including monthly town hall content creation.
  • Assist in talent acquisition and recruitment processes

Other Administrative Functions

  • Ordering supplies for the Dallas office for client meetings, in office meetings, etc.
  • Ordering flowers and gift cards for Theorist milestones
  • Ordering trophies and other items for recognition
  • Managing access cards for the office
  • Working with building management for regular cleanings and maintenance

What You Should Have

  • Associate’s degree in human resources or related field, or equivalent experience
  • Excellent verbal and written communication skills
  • Excellent interpersonal skills and ability to work with all levels within the organization
  • At least 2 years of a working understanding of human resource principles, practices, and procedures
  • A drive to solve problems proactively, resourcefully, and creatively.
  • Innate balance of both detail-oriented and big picture thinking
  • Ability to thrive and prioritize in a very fast-paced, dynamic, deadline-driven work environment
  • Working understanding of Google Suite and Microsoft Suite
  • Multistate payroll experience and experience with state and local taxes a plus
  • Preference will be given to local candidates to the Dallas-Ft. Worth Metroplex due to the ‘other administrative’ functions section of this job description.

The salary for this exempt-level position will be based on experience and qualifications within an established pay range. Benefits include 85% employer paid medical, eligibility to participate in vision and dental insurance as well company paid STD, LTD coverage plus a flat amount company paid toward Basic Life and AD&D, as well as a generous 401(k) retirement contribution plan eligible after 90-days of employment.

Working Conditions

We operate as a work, not live, from anywhere model and utilize the office space as a co-working space as needed. That said, whether in the office or at a remote location, we try to operate in the traditional office norm model. You will be working with a computer, telephone, copier, or other office equipment as necessary for long stretches of time. There may be some occasional long, irregular hours. You are expected to communicate effectively (verbal and written), and maintain professionalism under stress. Occasionally you will need to bend, pull, push and/or reach to access job-related materials. You will also be expected to work with frequent interruptions such as Slack messages, emails, phone calls, drive-by visits to your desk, whether that is from a co-worker at the office or your dog barking while working remotely. All our calls are held on video, as it is important to see facial expressions and reactions to work in a collaborative environment.
