The primary purpose of this position is to perform tasks related to the administration of the Paid time Off (PTO) plans and leave of absence (LOA) policies in compliance with company policies, collective bargaining agreements, and laws.

  • Research, respond to, and answer LOA and PTO questions. Assign priorities to inquiries based on needed response time, service level agreements and any legal requirements. Escalate major issues to management for assistance.
  • Review LOA cases when associates have not returned to work or cannot return to work after the leave of absence ends. Make recommendations to HR Leaders and colleagues handling workers’ compensation matters for returning to work with restrictions or engaging in the ADA interactive process, before mailing termination notice letters to associates, and requests the terminations be processed when needed.
  • Complete manual PTO adjustments as needed based on findings from reports run weekly, quarterly, annually, and also from notification of miscellaneous errors. Process weekly cash outs of PTO. Enter and update LOA cases in the system based on daily reports and emails of approvals, denials, return to work or expirations that are received from the LOA and short-term disability (STD) vendor partners.
  • Identify LOA and PTO issues and trends, based on questions asked and ad hoc reporting, and escalate problem areas to management. In addition, uses trends to make recommendations for changes to collective bargaining agreements during negotiations. In addition, creates ad hoc reports as needed.
  • Monitor federal, state, city or county law/ordinance changes as they related to PTO, LOA, paid state family or medical leave, and paid sick leave. Notifies management when changes are needed to PTO plans due to changes to laws or collective bargaining agreements. Creates a project plan, requirements, testing scenarios, and completes the testing for changes. Monitors project through completion. Escalates issues to management when needed.
  • Document frequently asked PTO and LOA questions and inquiries and create and maintain processing and use guides for team members and associates.
  • Review Non-FMLA medical LOA requests as a back-up to the LOA Coordinator. Coordinate approvals or denials with HR Leaders as needed.
  • H.S. Diploma or General Education Degree (GED) required.
  • Bachelor’s Degree in Arts/Sciences (BA/BS) preferred.
