Job Summary:

The Human Resources Coordinator is responsible for administrative operational support as part of the Human Resources Team. This role will support the employee through their employee lifecycle activities within their career, and includes monitoring and responding to employee inquiries, data reconciliation, compliance, and administration. Further, this role will provide additional HR Operational support for our company’s guidelines and employee processes.

Essential Job Functions will include:

  • Respond to employee’s requests submitted to the HR Portal and via email correspondence to resolve/escalate issues in a timely and professional manner
  • Manage the employee onboarding program for an accurate and positive experience. Responsibilities include:
    • Within current structure, at the pre-determined hand-off from Recruiting Coordinator
      • Duties may include: monitoring onboarding dashboard and guide new employees through the electronic onboarding tasks and being available for questions. Auditing of Form I9 and E-Verify process for all new hires. Subject matter expert on electronic system management, tentative non-confirmation owner and management to ensure compliance and manage risk.
    • Work collaboratively with Recruiting Coordinator and other HR team members to provide input on documented processes for an efficient and streamlined approach for candidate to employee process
  • Manage the offboarding program ensuring an accurate and positive experience. Responsibilities include:
    • Upon receipt of resignation letter initiate the documented offboarding internal processes with the Manager and the departing employee.
    • Owner of the Offboarding documentation process for continued enhancements or updates as processes evolve with business and/or technology updates.
    • Upload final versions of documents and move the personnel folder from Active to Separated folders
  • Prepare and/or update employment records related to hiring, transferring, promoting, and offboarding
  • Ensure all electronic employee records are organized, maintained, and updated in Box as needed
  • Own the structure, organization, and maintenance of job descriptions for the firm
  • Data entry and management in the HR System
  • Provide administrative support for the Rewards & Recognition program
  • Manage the Annual Federal and State/Local Employment Compliance Posters and Work Compensation Notices for national offices
  • Continuously review processes for efficiency and alignment with either technology or business updates that may impact an area of role ownership. Update document processes for training and business continuity.
  • Willingness to support HR team members on HR tasks and special projects as assigned
  • Other duties or tasks as assigned by management.

Required Knowledge, Skills, and Abilities:

  • Bachelor’s degree strongly preferred
  • 3 years of proven experience in a similar role
  • Considerable knowledge of HRIS data entry and maintenance, UKG experience a plus
  • Strong computer skills – Excel, PowerPoint, and Word
  • Strong foundational knowledge of HR employment laws and regulations
  • Solid problem-solving skills and critical thinking skills on business impacts
  • Strong verbal and written communication skills
  • Independent contributor with a collaborative approach to business; ability to work within a team
  • Experience in a fast-paced work environment with changing demands that require a calm and professional demeanor with our “clients” (employees and vendors)
  • Ability to handle confidential matters and maintain employee privacy.

Work Schedule:

This professional role requires availability during standard business hours of Monday through Friday from 8AM to 5PM. At times, the role may have early or late hours to meet business tasks and deadlines for external and internal client needs. Since this role is classified as a non-exempt position, you are required to record your time into the timekeeping system daily at the start and end of each workday plus a 30-minute unpaid lunch period.

Working Conditions:

This position may be in a professional office environment or a dedicated home office workspace which is free of interruptions. Whether position is in a dedicated office space or home office workspace, basic technology needs will be provided to satisfy position requirements. Routinely sitting and standing for periods of time.
