Human Resources Administrator - Remote (EST)
DUTIES AND RESPONSIBILITIES:
- Responsible for monitoring employment verification mailbox and completing any manual verifications, not able to be completed by the third party, The Work Number, within 48 business hours.
- Acts at the point of contact for unemployment claims and responds for internal employees and consultants in a timely manner. Sends escalations and hearing notices to the HR Generalist.
- Responsible for managing our ADP integration with PerformYard to ensure all internal hires are assigned to their correct performance management group.
- Reviews client COVID requirements, saves all consultant COVID vaccination cards and updates tracking.
- Oversees the distribution of all state mandated separation notices and required documents to terminated consultants.
- Responsible for assigning, tracking, saving certifications, and deactivating terminated consultants in our state-mandated training system, Traliant. Assists with annual internal roll-out under Lead HR Generalist discretion.
- Creates and sends Birthday and Anniversary announcements and coordinates gifts and tenure awards for the HR Team, if applicable.
- Sends documents through DocuSign for e-signature when needed.
- Monitors various HR inboxes and responds to any inquiries when needed or escalates to HR Generalist, when applicable.
- Administrative assistant duties as directed by the HR Generalist related to PerformYard and other projects as assigned.
- Assists with scheduling for the People Operations Team including external calls.
- Compiles Employee Relation case notes and documentation and creates I-Sight files with oversight from the HR Generalist.
- Assists with various internal filing, system audits and data entry. This may include, but is not limited to, personal information updates, field entry and validation, field mapping, integrations, reporting, and various system uploads and input.
- Participates in the coordinating and planning the HR team’s quarterly team builds and philanthropy events. This may include planning, scheduling, booking, catering, and set-up.
- Assists with various operational duties as assigned. May assist with projects, Canva designs, presentations, reports, etc. as needed.
KNOWLEDGE AND SKILLS:
- Extensive knowledge of Microsoft Office, especially Excel, Word and Power Point
- High level of interpersonal communication and writing skills
- Ability to be a self-starter and follow through with all responsibilities and duties.
- Attention to detail in composing, typing and proofing materials as well as establishing priorities and deadlines.
- Excellent oral and written communication skills
- Ability to work effectively with all types of personalities.
- Ability to follow through on projects and initiatives across multiple departments and locations.
- High level of time management and prioritizing skills
EDUCATION AND WORK EXPERIENCE:
- A bachelor’s degree in business or related field and 2 years of office operations or HR administration experience or
- Equivalent combination of education and experience
Base salary $40,000 - $45,000
- The base salary rate will be commensurate with previous experience and relevant skills and knowledge.
