About The Role:
The Accounting Administrator will provide financial and administrative support for the organization. They are responsible for receiving and organizing invoices, ensuring accurate and complete supporting documentation, gathering appropriate approvals and reconciling all expenses. They are expected to prioritize attention to detail, thoroughness and accuracy in performing their responsibilities.

Responsibilities:
- Receives and organizes bills, and ensures accurate/complete supporting documentation and appropriate approvals
- Works closely with the Accounts Payable Coordinator to coordinate the entering of weekly bills and meet deadlines
- (Serves as back-up) Aggregates and documents bills approved for payment, sets up bills to be paid in appropriate systems, works closely with approvers to ensure timely approval of payments, and assists in handling associated payment issues
- Assists in managing the finance email account for general inquiries and bill delivery; acts as a liaison between inbox and other Finance team members.
- Monitors outstanding payments in the system and follows up with consultants and vendors, as needed
- Monitors expenses to ensure they are allowable under the Federal Uniform Guidance and Federal Acquisition Regulations and other funder policies (training provided)
- Assists with external audit preparation and ongoing internal audit and control procedures
- Serves as back-up to time and effort tracking required for a large number of consultants using ClickTime, by adding new users/projects, setting project availability, and managing approval assignments; provides ClickTime user support by responding to requests via email and troubleshooting issues with vendor and internal support as needed
- Assists in reconciling time and effort data from ClickTime
- Maintains accurate electronic accounting files
- Maintains the integrity and accuracy of accounting data within VentureWell’s accounting system
- Provides other accounting and administrative support to the Finance team, as needed
What You Bring:
- 1+ years of experience in bookkeeping or accounts payable experience
- Knowledge of accounting best practices, laws, standards, and Generally Accepted Accounting Principles (GAAP) preferred
- Proficiency with Microsoft Office tools required. Advanced Microsoft Excel skills (e.g. VLOOKUP function and/or pivot tables) preferred
- Excellent customer service and communication skills with a wide range of constituents
- Exceptional time management and organization skills; ability to prioritize in a changing environment
