Collins Aerospace, is seeking a motivated, mission oriented Executive Administrative Assistant to support the Vice President, Strategic Planning and Development.

This position can be worked remotely, from anywhere in the domestic US.

Primary Responsibilities

  • Manage executive schedules and reconcile discrepancies in a timely matter
  • Schedule executive meetings within the same business day
  • Reconcile meeting discrepancies within the hour (or reasonable timeframe)
  • Prepare travel/training arrangements and process travel/training accounting/vouchers in a timely matter
  • Expense reporting for organization in a timely matter
  • Document meeting minutes (i.e., staff, business reviews, etc.) and promptly send out to the leadership team along with action items directly following meeting
  • Tracking and scheduling requisitions, interviews, and on-boarding
  • Maintain, update and serve as focal point for databases or spreadsheets
  • Assist in planning, scheduling, organizing, and execution of meetings, events, conferences, and off-sites
  • Serve as Onsite contact as needed for meetings, mail needs, greeting/escorting visitors, etc.
  • Expected to have up to date org charts, distribution lists/headcount rosters, etc.
  • Assists lower-level staff in gathering, verifying and processing documentation
  • Reminders and follow ups on staff activities /tasks requested from the executive
  • Acting as an extension of help for the leadership team

Basic Qualifications

  • AA/AS degree (or other 2-year post high school training) with a minimum of 8 years relevant experience OR
  • In the absence of a HS diploma, GED or AA/AS degree, 10 years of relevant experience is required OR
  • A Bachelor’s degree in the appropriate discipline and 2 years of relevant experience
  • Must be authorized to work in the U.S. without sponsorship now or in the future. Collins Aerospace will not offer sponsorship for this position.

  • Detail-oriented.
  • Ability to communicate effectively and concisely using a variety of styles and techniques appropriate to the audience.
  • Ability to participate productively as a contributing member in a team environment.
  • Ability to be discreet and maintain confidentiality.
  • Proficient in the use of Microsoft Office and standard computer applications.
  • Knowledge of proper English usage, spelling, grammar, punctuation and sentence structure to ensure that written materials prepared and reviewed are complete, succinct, and formatted correctly.
